5 Tips for Delegating Effectively


One of the quickest ways to burnout is trying to do everything yourself. You need to be able to recognize what is absolutely necessary for you to be doing, and what you can give others to do. In fact, good delegation can result in improved productivity, efficiency, and reduced stress. 

 

In what follows, are tips for delegating.

 

1. Always be very clear about what you expect

 

If you do not do this, then the work that gets done is surely not going to match your expectations. Be very specific. For example, if you want someone to write a letter for you, be sure to tell him that you expect an introduction, a conclusion, tips written out in point form, saved in doc format, and so forth. You may even want to give him an example of another letter so that he can see what you are talking about.

 

At home, if you are delegating some of the chores to your children, be sure to provide them with a checklist that reminds them of everything that you are expecting them to do. For example, if one of your children is responsible for cleaning the bathroom, then be sure to list all tasks that need to be completed such as wiping down the countertops, cleaning the sink, changing the hand towel, etc. Otherwise, without this list, something is sure to be forgotten. 

 

2. Create standard operating procedures

 

If you plan to delegate use of a particular type of software, for example, you might want to document step by step how to use it or what you need done. An affordable program that would allow you to document procedures is "Clarify", as it allows you to take screenshots and add text explanations. 

 

3. Do not over-delegate

 

You need to recognize the difference between the tasks that require your input and those that do not. In other words, delegate those tasks that do not require your expertise, but you do the work that requires your skills and expertise. 

 

An example might be an Occupational Therapist working in a nursing home. The Occupational Therapist is the only one with the knowledge and expertise to prescribe the right kind of wheelchair and cushion for a resident who is leaning severely and is at risk of long-term postural issues, but it is not necessary for that Occupational Therapist to be fixing the wheel locks on the wheelchair when that can be delegated to maintenance, a Rehab Assistant, or the equipment vendor from which it was purchased. 

 

4. Continue to be involved even when you delegate

 

Do not expect just to hand off a task to someone, and expect it to come back to you a month later exactly as you wanted it. To ensure that the work gets done the way you want, be sure to check in on a regular basis with the individual that you are delegating the work to. This will ensure that if there are any problems, you catch them early so that they can be corrected. In saying this, you also have to be careful that you do not micromanage everything either. Otherwise, you are setting both of you up for frustration and failure. 

 

5. Show your appreciation

 

People want to feel appreciated, and like they are valued for their input. Be sure to say "thank you," and show your appreciation to those you delegate your tasks. 

 


Using Stephen Covey's Methods to Set Priorities to Prevent Burnout


A huge factor in burnout is the stress related to feeling like you do not have enough time to get everything done in a day. It can feel like everyone wants you to attend to things immediately, even things that are not really that important! Our bodies are not machines, and it is important to remember that we cannot treat them as such. This is why learning how to set priorities is so important. 

 

Surprisingly, there are many people who do not know how to do this effectively. In what follows are methods to set priorities in your life.

Stephen Covey has created a quadrant grid that is helpful in determining where you are currently spending your time, and where you should be spending your time. 

 

According to Covey, tasks can be separated into:

 

1. Urgent and Important

 

These are the things that absolutely need to get done right away. For example, if you are at work and a report is due by 2 p.m. when you have a meeting to attend, that becomes the priority.

 

2. Not Urgent and Important

 

These are the things that most people do not spend enough time doing. These are the kinds of tasks that are important for long-term growth and development. An example may include wanting to create a more efficient system of getting your work done, but it always seems to get thrown to the bottom of the pile because the urgent tasks (both important and unimportant) always get attended to first.

 

3. Urgent and Not Important

 

These are the things that are not important, but someone else wants you do deal with it immediately. An example may be that your television, which you never watch, breaks down, and your spouse wants to go out and buy a new one immediately even though you don't feel the same way about the situation.

 

4. Not Urgent and Not Important

 

These are tasks that you do, but are often time wasters or meant to be a distraction. A good example might be Facebook. 

 

Now, you want to create a list and figure out where your "to-do" daily tasks fit in these categories. You can get back more hours in your day and week by simply tweaking what you are already doing, and reorganizing and regrouping your list. This can result in less stress, and less chance for burnout in the long run. 

 


5 Ways to Avoid Burnout When you Work for Yourself from Home


Working from home has many perks such as flexible hours, avoiding being stuck in traffic, and increased career satisfaction and happiness. If there is one disadvantage to working from home though, it would be that it is harder to separate your work life and your personal life as both often co-exist in the same space. Although most people would agree that the advantages far outweigh the disadvantages, burnout is still a possibility for those who work from home. In what follows, are ideas of ways to avoid burnout if you are working from home.

 

1. Set work hours and stick to them

 

Although your hours may be flexible, it is still a good idea to set your hours and stick to them as much as possible. When you have worked those hours in the day, then you are done your workday, and it is time to put work away until the next day. Because you work from home, it can be very tempting to work long hours, but do not get stuck in this rut on a regular basis. 

 

2. Treat your work hours seriously

 

When you set your own hours, sometimes your family and friends may not understand that just because you are home, that you are not available. For example, just because you are home, does not mean that you are automatically the backup sitter if your sister's daycare worker suddenly calls in sick. It can also be tempting to meet up with a friend for coffee, but if that coffee date turns into a two-hour visit, that is two hours gone during your workday. Instead, plan for meeting with friends outside of your set work hours. 

 

In addition, be sure that you are not running errands during your work hours for your spouse, or that you spend your time doing laundry and the dishes instead. 

 

Furthermore, if you have young children of your own, make sure that they attend daycare during your work hours as it is next to impossible to get much work done when they also need your attention. 

 

Because no one is watching you, it is also easy to waste time checking Facebook and email messages. Be sure to limit your time with these activities. 

 

3. Plan and schedule family and personal time

 

In the previous two points, we have discussed planning and setting your work hours. However, you need to remember to plan and schedule the rest of your life too. Be sure to plan family game nights and exercise sessions into your schedule. Write them down or put them in your phone's calendar and be sure to follow through with them. 

 

4. Plan rest periods during your workday

 

If you really like the work you do from home, then it probably does not even feel like work. However, it is still important to give your body and brain a rest by taking breaks. You may need to set a timer to remind you every two hours to get up and do something else. A good break may be getting up and running on the treadmill while you watch your favorite television program. 

 

5 .Do not skip meals

 

This seems like common sense, however it is easy to do when you are alone at home. After all, a large component of meals is the socialization aspect, and there is no one to socialize with when you are by yourself. There is also no cafeteria like you find in a lot of work sites, so you also have to prepare your own food at home.

 

By ensuring you eat healthy meals and snacks throughout the day, you are ensuring that your body is getting the right nutrients and energy it needs.

For most of us, there are two ways in which we can earn a living. We can either take up a job at some company where we get paid a regular salary with perks and incentives, or we can start a business of our own and earn the profits of whatever we sell. The former option is considered to be the more stable option, the more traditional one. That is why when most people think about what they would want to do in their lives, they think of nice cushy jobs that could pay them a large amount of money.

 

However, you should not completely denounce the second option either—starting a business of your own. Today, most of the people who are highly successful are those who have control over their lives in a professional manner of speaking. And this is only possible if you have a business. If you have your own company, however small, then you are your own boss. That even gives you more satisfaction from what you do.

 

It might have been true that businesses were difficult to start and manage once upon a time, but that is definitely not applicable in today’s world. Today, a lot of people are carrying out their business pursuits from the comforts of their home. The Internet has made it possible for all of us to be able to pursue our profession from our home itself—several people are managing entire virtual offices with dozens of employees from all over the world, just through their laptops.

So, plan your professional life well. Maybe you could consider a job if you are sure of growth and if the job is really good and from a very well-established company that pays handsomely, but if that is not the case, then a business is also not out of the realms of possibility either.

Whether you work for yourself or someone else you will need to be both organized and productive at work; every day. Not only will you feel better but you'll also impress your boss, colleagues and clients. So how can you make sure that you stay organized and productive?

 

Clear Clutter

 

Your work space should be clear and clutter-free. By removing distractions, you will make sure that you remain focused on your work. Have a trash can by your desk and use it. If it's trash, then it isn't needed so bin it immediately! Add a small container for recycling and put anything that can be recycled into it as soon as you've finished with it.

 

Process Your Emails

 

Emails are a huge time suck. Instead of just reading them or thinking you'll read or act on them later take a more structured approach.

 

Set a specific time for dealing with emails each day. Don't check them in between.

 

Use folders to organize emails: junk/spam, trash, by project or client, personal and to do. Any emails that require you to take action and that cannot be completed at that moment should be put into the to do folder. Make it a habit to work through your to do folder and empty it every day. Have a specific time slot allocated for that each day.

 

Delete junk, spam and emails that aren't important or needed for further action and empty those folders at the end of each day.

 

Schedule It

 

If you work for an organization, then you probably have set break times. However, if you work for yourself then it will be up to you to decide when to take a break. Make sure to schedule in regular breaks as these will keep you more focused and productive.

 

If you sit down for a large part of your day you need to take regular time out to get up and walk around. This will keep you fitter and reduce tiredness.

 

Stay Hydrated

 

Your body and brain need water to stay hydrated and to achieve optimal performance. Of course, you don't need to drink plain water all the time but you should limit caffeinated drinks such as tea and coffee. 

 

Don't Skip Lunch

 

It can be all too easy to skip a meal when you are really busy. However, this won't actually boost your productivity as you'll find your blood sugar level will drop and you’ll lose energy and the ability to focus.

 

Make sure that you’ll always have lunch by taking it with you. If you can’t make it yourself then buy it on the way in to the office. Make sure to have a couple of healthy snacks ready to have during the day.

What matters is that you create and use your lists every day to help you get and stay organized. Keep it Short

 

The ideal length of a to do list is 10 items or less. You've probably created lists in the past that have seemed endless. Instead of helping you feel organized and successful, you probably ended the day with most of the items still unchecked and feeling a failure.

 

By keeping your list purposely short you are more likely to cross off every item and end the day feeling successful.

 

Separate Lists for Home and Work

 

Don't add your work tasks to your personal to do list. Maintain separate lists.

 

Prioritize

 

Once you've listed everything you need to accomplish then number the items in order of priority. Do the most important items first and you'll feel the biggest sense of achievement.

 

If there are any items on your list that aren't important then mark them as such. That way you won't need to feel guilty if you don't cross them off.

 

Assign a Time Limit

 

Wherever possible set a time limit for every item on the list. Not just how long it will take but when it needs to be done. That way you can identify tasks that need to be completed before lunch or before picking up the kids from school.

 

Re-visit and Re-work

 

A to do list should be a working document. Once written it should be revisited throughout the day. You can check off those items you've completed and reprioritize or schedule those that remain.

 

You can also cross items off that are no longer important or unnecessary. It will also give you the opportunity to add any additional tasks that crop up during the day.

 

Keep it with You

 

How often have you made a to do list at the beginning of the day and then totally ignored it? Probably because you left the house without it at the beginning of the day!

 

To make sure that your list is where you need it you could use an app such as Todoist or Jamie's To Do. Better still you could keep your daily to do list in your daily or weekly spread in your bullet journal. That way it will be with you wherever you go and you'll get the satisfaction of marking off the items as you complete them. You'll also have a visual record of your achievement.

 

Your to do list can be a powerful tool for helping you to live an organised life. Using these tips will help you to ensure that it is used successfully.

Managing your time is not just good practice but it is also good for productivity, organization and achieving success with your goals. By managing your time properly and efficiently you can create an organized life. It doesn't need to be overwhelming if you follow the strategies below.

 

Get Up Early

 

The most successful people are early risers and have a morning routine in place.

 

Morning routines often include:

  • Visualization
  • Exercise
  • Reading/Learning
  • Healthy Eating
  • Planning/Prioritizing

 

A regular morning routine will ensure that you start your days successfully.

 

To Do List

 

Creating a to do list should be a regular habit undertaken daily. The best lists are 10 items or less to ensure that you can complete it. Don't forget to prioritize the items on the list and review it throughout the day. Checking off items as they are completed will give you a sense of accomplishment and motivation.

 

Sticky Notes

 

Sticky notes are ideal for displaying reminders of tasks, motivational quotes and visualizations. If you've got a pile of letters that need to be mailed and that's an item on your to do list, why not put a sticky note on top of the pile with a deadline for posting them? It'll serve as a reminder to get them posted and cleared out of your way.

 

Record It

 

Of course, you can record your notes digitally using note taking apps or in a text document, or using pen and paper but have you thought of recording them using a digital recorder? You can get free recording apps for smartphones. By making a voice recording you can replay the recording and listen to your ideas. This will give you the opportunity to listen from a different perspective.

 

Schedule

 

Create a schedule. Using an online planner such as Google Calendar will ensure that you are able to access your schedule on your smartphone, tablet or computer wherever you are. You can color code different categories of entry and share with friends, family and colleagues as necessary.

 

Use Pen and Paper

 

For your most important events, tasks and notes use the traditional recording method of pen and paper with a diary, planner or bullet journal. You can keep it with you at all times, it won't distract you with messages or run out of power. You'll also be able to flick through at a glance to see how much you've achieved, past or forthcoming events and outstanding tasks.

 

Prioritize

 

Be realistic. Not all tasks and events are created equal. Find a way to highlight events that are essential so that you can see them at a glance and be sure not to miss them. On your lists of things to do always prioritize them and complete the most important first. If there are items that aren't important or not time sensitive then considering moving them off your current list and on to another day. You can't do everything.

 

Delegate

 

If there are items on your list that aren't important then think about delegating them. You don't need to try and be a superhero and do everything yourself. Kids can tidy away their toys and when old enough learn how to load the dishwasher, set the table and do other simple chores. By enlisting the help of other household members, you can get more accomplished in less time.
